1. Introduction

Alpha Seed Inc. (doing business as "RevNote AI", "we", "us", or "our") respects your privacy and is committed to protecting it. This Privacy Policy describes how we collect, use, and safeguard your information when you use the RevNote AI platform (the "Service").

Crucially: RevNote AI is designed as a browser-based sidecar. We are strictly a transcription and documentation assistance tool and are not an Electronic Medical Record (EMR) system. We explicitly instruct physicians to never input patient identifiers (Names, Dates of Birth, Personal Health Numbers).

2. Zero PHI Storage & HIA Compliance

RevNote AI operates under the principles of the Health Information Act (HIA) of Alberta. To assist physicians in bypassing lengthy Privacy Impact Assessment (PIA) requirements, our architecture dictates that:

• No Patient Identifiers: Users must not dictate or type Protected Health Information (PHI) such as patient names or PHNs.
• Ephemeral Processing: Audio recordings and shorthand notes are processed in memory and transcribed in real-time.
• Instant Wipe: Once a user clicks "Copy to EMR", all session data (audio, transcriptions, and generated SOAP notes) is permanently wiped from our systems instantly.
• We do not store transcripts or audio files in any permanent database.

3. Information We Collect

We collect information necessary to operate your RevNote AI account and ensure service quality:

• Account Information: Name, email address, and authentication credentials (handled securely via Supabase Auth and Google OAuth).
• Billing Information: Credit card details and subscription state (securely handled by Stripe). We do not store raw credit card numbers.
• Usage Analytics: Encounter processing metadata for billing analytics (e.g., standard baseline cost, optimized claim total, modifier codes). This data contains absolutely zero patient information and is solely used to populate your Revenue Dashboard.

4. Third-Party Services

We utilize proprietary and third-party AI models (including advanced Clinical Language Models) to parse de-identified clinical notes and generate suggestions based on the Alberta Schedule of Medical Benefits (SOMB). All third-party data processing agreements mandate strict privacy controls, prohibiting the use of your clinical notes for public model training.

5. Security Measures

We implement industry-standard encryption (TLS/HTTPS in transit, AES-256 at rest) for all account and analytics data. Our infrastructure is hosted on secure cloud providers (Vercel, Render) governed by strict ISO-27001 policies.
